Privacy Policy

Last updated

This policy explains what we collect when you use MeetMyCFO and the rest of the MeetMyC*O suite, why we collect it, who we share it with, how long we keep it, and the choices you have.

1. Who we are

Launch Advisor LLC (“we”, “us”), 732 S 6th St Ste N, Las Vegas, NV 89101, USA, runs MeetMyCXO and its five sister sites. We’re the controller of the personal information described here. One account works across all six sites, so this one policy covers all of them:

Each site’s copy of this policy is the same, except for one section on that site’s own features. On this site, that’s section 3.

Questions or requests: info@meetmycxo.com.

2. What we collect

Your account

When you sign in with Google or Microsoft, they send us your email address, your name and, if they have one, your profile photo. If you use an email sign-in link, we get your email address. We also keep your organization, your role in it, your plan and trial status, and sign-in times. On meetmycfo.co you sign in with Google or Microsoft; meetmycxo.com also offers a one-time link we email you. There are no passwords. The first time you sign in on any of the six sites, we create your account.

Your profile

Before you can use the signed-in app, we ask for your first name, company, industry and business function. You can also add a last name, role, website, LinkedIn address, bio, country, time zone, company size, stage and type, topics you’d like to talk about, and a photo, and choose how your name is shown. Uploaded photos are stored at a public web address: anyone with the link can see them, and copies can stay in web caches for up to a year after you remove them.

Your workspace

The business information you enter or connect so the AI executives can work for you. What that includes depends on the site; see section 3 for MeetMyCFO.

AI Advisor chats

Every page has an AI Advisor you can chat with, signed in or not. We store every message you send and every answer, along with the page you were on, the industry the conversation is about and your plan status, plus your user and organization IDs if you’re signed in. We set a cookie called mmc_advisor_vid that lasts 90 days so we can apply question limits and keep your chats together, and we store a keyed hash of your IP address (not the address itself) to limit abuse. If you chat first and sign in later on the same browser, your earlier chats become linked to your account.

Community

Your posts, replies and votes. The first time you open the community we create your community profile from your member profile: your display name (as you chose it), the photo you uploaded, a short headline and your business function. If you post as anonymous or keep your profile private, we don’t show your photo. Other members see your community profile only next to a post or reply you’ve made.

Marketplace

Expert listings (name, photo, headline, summary, specialties, industries, rate, availability, country, time zone and any files you attach), needs that founders post, bids, messages, bookings and payment records. When you accept a marketplace agreement, we record the version, the time, your IP address and your browser’s user agent.

Billing

Subscriptions are bought on meetmycxo.com through Stripe’s checkout. We store your Stripe customer and subscription IDs, plan, subscription status, billing interval, selected products, trial and billing dates, and whether your plan is set to cancel. You enter card details directly with Stripe, and we never see full card numbers.

Partner links

When you click a partner link in a guide, we record the partner, the destination, the guide you came from and the time, plus your user ID if you’re signed in.

Device and usage data

Our hosting provider logs requests, including your IP address and browser details. Google Analytics and Google AdSense collect page views, clicks, approximate location, and browser and device details through cookies and similar technology (see section 8).

3. Features specific to MeetMyCFO

Everything else in this policy applies on all six sites. On meetmycfo.co, we also handle the following.

What we store

  • Financial data from systems you connect. Bank accounts and transactions (through Plaid), and accounts, ledger entries, invoices, bills, customers and vendors from QuickBooks Online, Xero or Zoho Books. We store them so Frank can work out cash flow, forecasts and working capital.
  • Card statements you upload. American Express CSV files you import.
  • Frank’s work. Questions you ask Frank, the decision memos he writes, items he flags in your finance inbox, your approvals and your settings.
  • Payment reminders. When you approve a reminder to a customer who owes you money, we keep the draft, the customer’s email address and a log entry.
  • Connection tokens. Access tokens for your bank and accounting connections, encrypted on our servers.
  • Audit records. Sign-in events, which include your email address, and other significant actions.
  • Microsoft Teams. If Teams is connected for your organization, the Microsoft user and conversation IDs we need to reply in Teams. When someone messages Frank, we look up their work email in your Teams roster to check that they’re a member of your MeetMyCFO workspace. We don’t store that email.

AI features on this site

  • Chat, memos and payment-reminder drafts. Your question and the business context the answer needs go to Anthropic. That can include financial figures, customer and vendor names, and invoice details.
  • Frank in Microsoft Teams. If Teams is connected for your organization, messages sent to Frank in Teams go to Anthropic with the same kind of context.

Connected services

Services MeetMyCFO connects to
CompanyWhat we use it forWhat it receives
PlaidConnecting your bank accounts and reading transactions, if you connect a bank. It can’t move money. The bank login you enter in Plaid’s window goes to Plaid, not to us. Plaid sends us account and transaction data.
Intuit QuickBooks Online, Xero and Zoho BooksPulling your accounting data, for whichever of these you connect. Our requests for accounts, ledger entries, invoices, bills, customers and vendors, made with the access you approve.
Microsoft TeamsThe Frank bot in Teams, if we connect Teams for your organization. It answers only people whose Teams work email matches a member of your MeetMyCFO workspace, and only while your organization has an active plan. Answers draw on your organization’s financial data.Messages sent to the bot and Frank’s replies.
SlackSlash commands, and the daily finance pulse posted to your workspace, if Slack is connected for your organization.Command details from Slack; the pulse and the replies we post.

Emails this site sends

  • Daily Finance Pulse. Each day, for organizations with a connected bank or accounting system, we email the owners and finance admins a summary with cash, receivables and payables figures. It goes only to organizations with an active trial or subscription. Turn it off in Settings or with the unsubscribe link in each email.
  • Payment reminders. When you approve a reminder, we email it to your customer from “{your name} via MeetMyCFO”, and replies go to you. The email says it was drafted with AI and approved by you, names your organization and has an unsubscribe link. We don’t send to anyone who has unsubscribed.

4. How we use it

  • To run the Service: your account, your workspace, and the features you use.
  • To generate AI answers, briefs and drafts (see section 6).
  • To check your plan, manage trials and take payment.
  • To send service email, such as briefs, approvals and marketplace notices.
  • To run the community and the marketplace, including moderation and dispute handling.
  • To keep the Service secure: rate limits, abuse prevention and audit trails.
  • To understand how our sites are used and improve them.
  • To show ads from Google AdSense, which pay for our free guides and tools.
  • To meet legal, tax and accounting duties, and to respond to lawful requests.

6. AI processing

Our AI features run on Anthropic’s Claude models, except where section 3 names another provider. When you use one, what you typed and the data the feature needs are sent to Anthropic’s API, and the answer comes back to us.

The AI Advisor

Your message and up to 16 earlier messages from the conversation go to Anthropic: first to a smaller model that checks what kind of question it is, then, if it’s one the Advisor answers, to a larger model that writes the answer. If you’re signed in, we include your first name and company. If you’re a subscriber on this site, we also include your financial figures and the titles and amounts of the open items in your finance inbox. To find relevant guides and help articles, your question is turned into a search vector by a function that runs inside Supabase.

Training

We don’t use your content to train AI models. Anthropic’s commercial terms don’t allow it to train its models on the content we send through its API.

Please don’t share sensitive data

Don’t paste passwords, card or bank account numbers, government ID numbers, health information, or other people’s sensitive personal data into AI features. AI answers can be wrong; check them before you act on them.

We share personal information with these companies, each for a specific job:

MeetMyCFO also connects to the services listed in section 3, when you or your organization connect them.

People who can see your information

  • Members of your organization can see its workspace.
  • Other signed-in members can see your posts and replies, with your community profile next to them.
  • Signed-out visitors to the community see topic names, totals and the titles of recent discussions, blurred. They don’t see post text or who wrote it.
  • Expert listings are public and can appear in search engines. Signed-in members who’ve finished their profile can open files attached to a live listing.
  • When a founder posts a need, approved experts see it along with the founder’s name and photo, as the founder set them under Visibility on their profile.
  • People you message or book in the marketplace see your name, photo and messages.
  • People who receive an email you approve through the Service see its content, your organization’s name and the name of the person who approved it. Replies go to that person. The email says it was drafted with AI and has an unsubscribe link.

Other disclosures

We may disclose information if the law requires it, to protect people’s safety or our rights, or as part of a merger, sale or transfer of the Service. We don’t sell personal information for money. Some US state laws treat the Google advertising described in section 8 as a sale or “sharing”; see section 9.

8. Advertising and analytics

Google AdSense

We show ads from Google AdSense. Third-party vendors, including Google, use cookies to serve ads based on your prior visits to this website or other websites. Google’s use of advertising cookies enables it and its partners to serve ads to you based on your visits to our sites and other sites on the internet. Google’s ad code runs across our sites, including pages you see while signed in.

You can opt out of personalized advertising in Google’s Ads Settings. You can also opt out of some third-party vendors’ use of cookies for personalized advertising at optout.aboutads.info.

Google Analytics 4

Google Analytics tells us which pages people visit and how they got there. It receives the address of each page you view, your browser and device details, and your approximate location. We don’t send it your name or email. You can opt out on every site with Google’s Analytics opt-out add-on.

Consent

  • EEA, UK and Switzerland: analytics and advertising cookies stay off until you agree through Google’s consent message. Until then, Google Analytics only receives cookieless signals. To change your answer, use Privacy and cookie settings in the footer.
  • Everywhere else: these cookies are on by default. If your browser sends a Global Privacy Control signal, we tell Google not to use your data for ad personalization.

Fonts

This site serves its own fonts, so loading a page doesn’t contact Google Fonts.

Our Cookie Policy lists every cookie and how long it lasts.

9. Your US state privacy rights

If you live in California or another US state with a consumer privacy law, this section applies to you along with the rest of this policy.

What we collect and why

In the last 12 months we’ve collected these categories of personal information, for the purposes in section 4:

  • Identifiers: name, email address, IP address, account and cookie IDs.
  • Customer records: billing details handled through Stripe.
  • Commercial information: your plan, payments and marketplace bookings.
  • Internet activity: pages viewed, clicks, AI Advisor chats and partner-link clicks.
  • Professional information: company, role, industry and the business data in your workspace.
  • Approximate location, based on your IP address.

We get it from you, from your organization, from services you connect, from Google or Microsoft when you sign in, and from cookies. Section 11 says how long we keep it.

Selling and sharing

We don’t sell personal information for money. But we let Google collect identifiers and internet activity through AdSense cookies on our sites so it can show personalized ads. Under California law that may be “sharing” for cross-context behavioral advertising, and other states may treat it as targeted advertising or a sale. We don’t knowingly sell or share the personal information of anyone under 16.

How to opt out

  • Use the Do Not Sell or Share My Personal Information link, which appears in the footer for visitors in US states with this right.
  • Or turn on Global Privacy Control in your browser. We treat it as an opt-out and tell Google not to use that browser’s data for ad personalization.

Your other rights

You can ask to know what we hold about you and get a copy, to correct it, and to delete it. We don’t use sensitive personal information to infer things about you, and we won’t treat you differently for using your rights. If we turn down a request, you can appeal by replying to our decision with “Appeal” in the subject line. An authorized agent can make a request for you. Section 12 explains how to make a request.

10. International transfers

We run the Service from the United States, and our main providers store data there. They may also process it in other countries where they operate. If you’re outside the US, your information is transferred to the US. Where the law requires a safeguard for that transfer, we rely on the protections in our providers’ data processing terms, such as the EU Standard Contractual Clauses and the UK Addendum, or on their certification under the EU-U.S. Data Privacy Framework.

11. How long we keep it

Unless something below says otherwise, we keep your information while your account is open and delete it when you delete your account. A daily job deletes the data below once its period ends.

  • Account, profile and workspace data: while your account is open. When you delete your account from your profile page, we delete or anonymize your personal information straight away, except records we must keep, described below. If you ask us by email instead, we do it within 30 days of confirming your request.
  • AI Advisor chats: deleted 90 days after the last message in the conversation, or sooner when you delete your account. Question-limit counters are deleted after 30 days, and the record for a browser that hasn’t chatted for 30 days is deleted too (90 days if we blocked it for abuse).
  • Community posts: kept until you or a moderator delete them. A deleted post disappears from the community straight away, and we erase its text 30 days later. If you delete your account, posts still on the community stay up under “Deleted member”.
  • Marketplace records: listings stay up until you switch them off. Agreement acceptances, bookings and payment records are kept as long as we need them for tax, accounting and disputes.
  • Billing records: kept as long as tax and accounting law requires, even after your account closes.
  • Email settings and unsubscribes: kept as long as we need them to keep honoring your choice.
  • Partner-link clicks: kept until you ask us to delete them.
  • Server logs, analytics and ads data: kept by Vercel and Google under their own retention settings.
  • To disconnect a bank or accounting connection, choose Disconnect on the Integrations page. We revoke MeetMyCFO’s access at the provider where the provider allows it, delete the stored tokens and stop syncing. You can also choose to delete the data we pulled from it.

12. Your rights and how to use them

Depending on where you live, you can ask us to give you a copy of your personal information, correct it, delete it, restrict or object to how we use it, or send it to you in a portable format. Where we rely on consent, you can withdraw it at any time.

You can download a copy of your data and delete your account yourself on your profile page. For anything else, email info@meetmycxo.com from the address on your account, or tell us enough to identify you. We may need to confirm your identity first. We’ll respond within 30 days, or within 45 days for requests under US state laws. If we need more time where the law allows it, we’ll tell you why.

If you’re in the EEA or UK, you can also complain to your local data protection authority. In the UK, that’s the Information Commissioner’s Office.

13. Children

The Service is for business use by people 18 and older. We don’t knowingly collect personal information from anyone under 16. If you think a child has given us personal information, email info@meetmycxo.com and we’ll delete it.

14. Security

Our sites use HTTPS, our database provider encrypts stored data, and database access rules limit who can read what. Our service keys stay on our servers. No system is perfectly secure, so we can’t promise that yours will never be exposed. If you find a security problem, please email info@meetmycxo.com.

15. Changes to this policy

We’ll update this policy when our features or providers change, and we’ll change the “Last updated” date at the top. If a change materially affects how we handle your information, we’ll tell you by email or in the product before it takes effect.
